For most room rates, free cancellation is available if the reservation is cancelled up to 7 days before the date of arrival. Cancellations made within 7 days of arrival may be subject to charges as outlined below.

2.2 Flexible Rate

Reservations booked under our "Flexible Rate" plan are fully refundable if cancelled up to 24 hours before the date of arrival. Cancellations within 24 hours will incur charges equal to the first night's room cost plus applicable taxes.

2.3 Non-Refundable Rate

Reservations booked under our "Non-Refundable Rate" plan cannot be cancelled or modified. No refund will be issued regardless of when the cancellation is made. This rate offers significant savings and is non-changeable.

3. Cancellation Charges

3.1 Late Cancellation (Within 7 Days)

If you cancel a standard rate reservation between 7 days and 1 day before your check-in date:

  • 7-4 days before arrival: 25% of total booking amount
  • 3-2 days before arrival: 50% of total booking amount
  • 1 day before or on arrival: 100% of total booking amount (no refund)

3.2 No-Show Policy

If you do not arrive on your check-in date and have not cancelled your reservation, the full amount of your booking will be charged. No refund will be issued for no-shows.

4. How to Cancel Your Reservation

4.1 Online Cancellation

You can cancel your reservation online through your booking confirmation email or by logging into your account on our website. Online cancellations are processed immediately.

4.2 Email Cancellation

Send a cancellation request email to contact@hotaldhanrajdesiswad.online with your booking reference number. Please allow 24-48 hours for processing.

4.3 Phone Cancellation

Call our reservations team during business hours to cancel your booking. You will receive a cancellation confirmation immediately.

5. Refund Processing

5.1 Refund Timeline

If your cancellation qualifies for a refund, the refund will be processed to your original payment method within 7-10 business days. Please allow additional time for your bank or credit card company to credit your account.

6. Modifications to Your Reservation

6.1 Date Changes

If you wish to change your check-in or check-out date, you must cancel your existing reservation and make a new booking. Cancellation charges may apply based on the original reservation's cancellation policy.

6.2 Room Type Changes

Changes to room type are subject to availability. If a different room type is available, you may need to pay the rate difference. If the new room is less expensive, no refund will be issued for the difference.

6.3 Guest Name Changes

Minor spelling corrections can be made free of charge. Complete name changes may require cancellation and rebooking, subject to cancellation charges.

7. Special Circumstances

7.1 Emergency Cancellations

In cases of genuine emergencies (medical, family emergency, etc.), we may consider waiving cancellation fees. Please contact us immediately with supporting documentation to request a review.

7.2 Event Cancellations

If a local or national event is cancelled or postponed, cancellation fees still apply unless otherwise agreed upon in writing.

7.3 Force Majeure

In exceptional circumstances beyond our control (natural disasters, government restrictions, etc.), we will work with you to either reschedule your stay or process a full refund.

8. Group Bookings

8.1 Group Cancellation Policy

Group bookings (10+ rooms) have different cancellation terms. Please refer to your group booking contract or contact our groups team for specific details.

8.2 Group Modification

Changes to group bookings must be made at least 30 days in advance. Modifications within 30 days of arrival may be subject to additional charges.

9. Third-Party Bookings

9.1 OTA Reservations

For reservations made through online travel agencies (OTAs), hotel booking platforms, or travel agents, the cancellation policy of that third party may apply. Please check the terms provided by the booking platform.

9.2 Travel Insurance

We recommend purchasing travel insurance that covers cancellations due to unforeseen circumstances. Hotel Dhanraj Desi Sawad is not responsible for travel insurance claims.

A: Yes, you can cancel individual rooms from a multi-room booking. The cancellation policy applies to each cancelled room separately.

A: You will need to make a new reservation at the current rates. If the original booking had a lower rate due to early booking, rebooking may be at a higher rate.

Q: Do I need to provide a reason for cancellation?

A: No, you are not required to provide a reason. However, if you have a special circumstance, please inform us as we may be able to assist you.

Q: What happens to my loyalty points if I cancel?

A: Loyalty points earned for the original booking will be reversed. Points from future bookings will not be affected.
